Responsibilities:
Sales Coordination and Collaboration:
- Collaborate closely with the sales team to ensure smooth communication and coordination of sales activities.
- Assist with sales forecasting and planning by providing input on customer trends, demand patterns, and market insights.
- Coordinate and schedule meetings, presentations, and sales events as required.
Order Processing and Management:
- Receive and review customer purchase orders, ensuring accuracy and completeness.
- Enter and process orders into the CRM system, verifying pricing, discounts, and product availability.
- Coordinate with various internal departments to ensure timely order fulfillment and delivery.
- Monitor sales order status and proactively communicate any potential delays or issues to notify the sales team.
Sales Documentation and Reporting:
- Prepare and maintain sales-related documents, including quotes, contracts, proposals, and invoices.
- Track and trace the status of all the monthly invoices to ensure all the payments are well received timely.
- Maintain accurate and up-to-date records of customer interactions, sales activities, and contract renewals in the CRM system.
Process Improvement and Efficiency:
- Identify opportunities to streamline and improve sales processes and workflows.
- Make recommendations for enhancements to sales internal processes, support tools, systems, and documentation.
- Contribute to the development and implementation of sales support best practices.
Sales Systems and Others:
- If required, oversee the implementation, integration, and maintenance of sales tools, CRM systems, and other sales-related technologies.
- Ensure the sales team is effectively trained on sales systems and processes, and provide ongoing support and troubleshooting.
Qualifications:
- Bachelor's degree or equivalent certification (Master's degree preferred).
- Proven experience as a Sales Operation Specialist or in a similar role within a sales-driven organization.
- Strong analytical and problem-solving skills with the ability to derive insights from data and make data-driven decisions.
- Proficiency in sales analytics and reporting tools.
- In-depth knowledge of sales processes, methodologies, and best practices.
- Experience with CRM systems and sales force automation tools.
- Excellent communication and interpersonal skills, with the ability to effectively collaborate with cross-functional teams.
- Strong organizational and project management skills.
- Ability to work in a fast-paced, dynamic environment and manage multiple priorities.
- Results-oriented mindset with a focus on driving sales performance and revenue growth.
- Demonstrated ability to learn quickly and adapt to changing business environment.
