Your Role & Responsibilities:
• Team admin support
a. Assist leaders in creating and maintaining an engaging working atmosphere and effective working environment
b. Assist purchasing request orders approval process in department and responsible for approved PO processing
c. Coordinate with office management team to ensure/maintain the nice working environment provided to the staff
d. Overseas visitors travel arrangement, incl. high level visitors (invitation letter for visa, meeting arrangement, transportation arrangement)
e. Regularly update on organization chart and department distribution list
f. Monthly stationary order
• Lead management secretary support
a. Calendar management
b. Reimbursement claims
-Submit the daily / travel expense claims in terms of company policy
c. Travel arrangement (hotel, transportation, meetings)
-Based on company travel policy & directors’ travel itineraries;
d. Quarterly employee survey deep dive facilitate
e. Other ad hoc. assignment from Leader
• Conference/Event support
a. Department offsite / Town hall meeting / Annual dinner / event organization support
b. External delegations' visiting (PR related) support
c. Other internal & external meetings support per requested
To succeed in this role, you should have the following qualifications and experience:
• Bachelor Degree
• 2-3 years working experience and above
• Familiar with MS office and other administration tools;
• Detail oriented & organized, self-motivated, flexible in work and fast-learning are key characters preferred
• Caring and open mindset, people centric is seen a plus
• Finance knowledge (basic) is a plus but not mandatory
