Position Summary
The Specialist, Talent Acquisition (TA) Coordinator supports hiring lifecycle activities including pre and on-boarding successful candidates to Bristol-Myers Squibb (BMS). Specialist, TA Coordinator is an important member of a TA function expected to enable superior hiring manager and candidate experiences.
Responsible for general administration/coordination/logistics duties including interview scheduling, logistics, generating offer letters and facilitating pre/on-boarding tasks, purchasing transaction etc. by understanding the business needs and establishing and maintaining effective relationships with internal/external clients and vendors. Partners across the HR operations matrix (TAE, PS) to identify/support continuous improvement projects and enhancing streamlined workflows. Supports TA delivery teams to generate data reports and insights, develop dashboards and business presentations.
Where demand exists, the TA Coordinator can support sourcing and screening diverse slates of qualified candidates to open positions and execute candidate engagement activities that result in dynamic candidate and hiring manager experiences.
Detailed Position Responsibilities
Coordination/Administration/Logistics:
? Support hiring lifecycle processes
? Communicate proactively with TA partners, Hiring Managers and candidates to ensure operational efficiency and execution
? Schedule phone, video and in-person candidate interviews as required
? Coordinate and confirm candidate interview agendas
? Provide interview guides and materials, schedule interview briefing/de-briefing meetings; and manage all other interview related communications
? Coordinate general logistics requirements (inc. travel, transportation, venue and accommodations etc.)
? Generate and deliver accurate offer documents, route for approval and deliver to candidate
? Coordinate and monitor status of background checking processes
? Coordinate pre-boarding and on-boarding processes including BMS ID creation, pre-employment background checks and new hire data collection
? Support generation of relevant data reports and drafting narrative-style presentations
? Provide general administrative and project support to TA function as directed
Candidate Management and Application Tracking Systems (ATS) Management:
? Assist with the administration, optimization and use of the ATS
? Support data integrity within Workday, primarily the ATS, and other sourcing systems
? Enter new hire information in Workday and other associated systems where required
Continuous Improvement:
? Identify/troubleshoot issues and escalate to relevant partners where required
? Identify/recommend continuous improvement opportunities for improving operational efficiency & excellence
? Partner TA Enablement, People services and other HR operations functions to support strategic and transactional delivery
Candidate Sourcing, Screening & Engagement:
? Where demand exists, support recruitment processes including sourcing and screening candidates
? Partner with to understand specific job description requirements
Experience Desired ? Approximately 2-4 years of relevant generalist HR/TA/Recruitment coordination/administration experience
? Demonstrated ability to effectively collaborate with partners to deliver superior customer experiences
? Demonstrated ability to develop internal/external relationships
? Demonstrated knowledge/experience providing hiring life-cycle coordination/administration/logistics support including, interview scheduling, offer document generation, pre/on-boarding tasks, purchasing
? Demonstrated knowledge/experience using HRIS enterprise software technology, especially TA related systems including Workday Applicant Tracking Systems (ATS), Purchasing software, Microsoft Office suite etc.
? Demonstrated knowledge/experience partnering HR operations functions to support strategic and transactional project delivery
? Demonstrated knowledge/experience supporting data reporting, including generating reports and drafting narrative-style presentations
Minimum Requirements/Knowledge Desired:
? Bachelor’s Degree
? Strong written and verbal communication skills, strong interpersonal skills
? Knowledge/experience of commonly-used concepts, practices, and procedures within human resources and Talent Acquisition function
? Advanced customer service skills
? Knowledge/experience of HRIS enterprise software, including Applicant Tacking systems, Recruitment Process Management systems preferred, prior knowledge of Workday desirable
? Basic analytical skills with the ability to assess and present key data.
? Demonstrated proficiency with the Microsoft Office suite, including Outlook.
? Bi-lingual Chinese and English fluency
